Use this checklist to review your email communications.
Initial Information Review
- Identify Goals: Does this email meet the purpose you set out to communicate? (e.g., inform, prompt action, remind)
- Key Dates: Have we provided a deadline, date range, or suggested completion time for the objective?
- Call to Action (CTA): Is the CTA clear? This is what we want recipients to do after reading. (click, sign up, reply)
- Clear Headline: Does the subject line convey the message clearly and encourage opens?
Content Review
- Personalization: Are there personalization elements (i.e., first name, program) included where needed?
- Readability: Is the language clear and concise? Avoid jargon, overused terms, and lengthy sentences.
- Essential Details: Are all the important details included (event date, location, how to respond, etc.)?
- Links: Are all links working and directing to the correct pages?
- Spelling & Grammar: Check for typos or grammatical errors.
Design & Layout
- Visual Appeal: Is the layout easy to scan (use of bullet points, bold headers)?
- Images/Graphics: Are any images relevant and aligned with the message? (if applicable)
- CTA Button: Is there a clear button for actions (e.g., “Apply Now” or “Learn More”)?
- Responsive Design: Does the email look good on both desktop and mobile views?
